Build reusable Quote templates

Updated on First published Approx. 5 min read

Use Company Settings → Quote templates for the intended company. Editing requires company-management permission and the sales-document feature enabled for that company. Applying a template also requires Sales Manager access.

A template controls presentation. Prices, quantities, dates and tax come from the Quote. Saving a company template changes linked drafts; issued Quotes retain their saved presentation.

Create and save a template

Editing company templates requires company-management permission and the sales-document feature enabled for the selected company. Prices, quantities, dates and tax still come from the Quote.

  1. Open Company Settings → Quote templates. The editor opens automatically with an existing template, or a new template if none is saved. To start a separate template, open Template and select New template.
  2. Under Common setup, enter Template name and, if useful, Use for (optional) to explain when colleagues should use it.
  3. Set Include cover page and Include generated closing page. Set the default company logo, footer letterhead, colours and page-number controls for the document.
  4. Open Cover to edit Cover text. Choose Use hero layout for a hero section, then its Hero style and Hero shape. With hero layout off, choose Photo and text and Vertical placement instead. Enable the cover under Common setup if its controls are unavailable.
  5. Open Introduction and enter Introduction text using the formatting toolbar. The supported placeholders are {customer}, {job}, {company}, {reference}, {preparedBy} and {preparedByContact}. Check the resolved details on an actual Quote before sharing.
  6. Open Quote. Choose Item layout (Table or Illustrated) and the required Show tax, Show quantity, Show total amount and Show period settings. Set description styling, item dividers and Show item photographs. When photographs are shown, set Item photo size and, for Illustrated items, Photo position. Enter any Standard wording.
  7. Open Closing and enter Closing text. Enable Include generated closing page under Common setup if needed; use Hero section and its shape for a branded closing panel.
  8. Check the live A4 preview, including every page. On a narrow screen, switch between Edit and Preview. Template previews use sample customer and item data; they do not validate a real Quote's commercial details.
  9. Select Save changes in the Company Settings header and wait for completion. Correct any displayed validation or overflow warning and retry saving if necessary. Unsaved edits are not applied to the company template.

To abandon edits, select Discard changes. At Unsaved template changes, select Keep editing to return or Discard changes to confirm. Switching templates or leaving can also require this decision.

Each page section also has its own letterhead and logo switches, such as Introduction letterhead and Introduction logo. Set these in the section you intend to change.

For cover or page photographs, turn on that section's photo switch, such as Cover photo, then use Choose photo, select company media and Insert. Set the section's photo size and alignment as required. To unlink a page photo, use its file row's Delete action, read Remove [page] photo? and confirm Remove photo, then Save changes. The uploaded library file is kept. See company media for upload, cropping and library deletion boundaries.

Edit, duplicate or delete a template

  1. In Company Settings → Quote templates, choose the intended template in the editor's Template selector.
  2. Make the amendments, check the preview and select Save changes. Linked draft Quotes follow the latest saved settings; check affected drafts before sharing them.
  3. To create a separate starting point, open the Template settings cog and choose Duplicate. Give the copy a distinct Template name, edit it and Save changes.
  4. To remove a saved template from future selection, open Template settings → Delete. Read Delete [template name]? and confirm only for the intended template.
  5. If loading or deletion fails, read the error and use Retry. If saving reports a conflict, reload the template and reconcile the changes before retrying.

Apply a template to a draft Quote

  1. Open the intended editable draft Quote in Sales Manager → customer → contract → Documents.
  2. Find Quote template and open Presentation. Select the named company template, or None — current quote layout to use the ordinary layout.
  3. Wait until Loading or saving presentation… finishes. If an error appears, use Retry to reload the available templates, then check and repeat the selection if needed.
  4. Select Preview to inspect the complete document with its actual customer, items and totals before sharing.

Linked drafts follow the latest saved template settings. Issued Quotes retain their saved presentation. See Quote preparation for the saved-template entry point.
