Duplicate a contract for similar work
Choose the duplication entry point for the work you are doing. Sales Manager and the booking selector create copies with different initial periods.
Duplicate a contract in Sales Manager
- Open Sales Manager, then open the customer that owns the original contract.
- Check the original contract’s name and number, then select its cog.
- Select Duplicate engagement. This creates the copy immediately; there is no duplication confirmation in this entry point.
- Find the new contract in the refreshed customer contract list and open it.
- Check its name and number, then review and change the editable site, contact and operational details for the new work. Check Category when its selector is visible and enabled.
- Enter the new PO number and add the required documents before booking.
This copy retains the original period, customer, description, hire-desk comments, chargeability, site, what3words, contacts, category, equipment, hire-desk and workforce information. It also carries the original external reference, which is separate from the PO number. The PO number, documents, bookings and Hire Contract history are not copied.
Duplicate a contract in the booking selector
- In the booking contract selector, open the correct customer and locate the original contract.
- Select Duplicate on that contract.
- Read the confirmation. Select Duplicate to create it, or Cancel to keep only the original.
- Review the opened copy. Its initial period is Ongoing from today, even when the original has a different period.
- Check Contract Name, site, contacts, chargeability, equipment, hire-desk and workforce information. Check Category when its selector is visible and enabled. Change these details for the new work.
- Enter the new PO number and upload new paperwork. Select Continue to use the reviewed contract for the booking.
This copy keeps the customer, chargeability, site, what3words, contacts, category, equipment, hire-desk and workforce information. It does not carry the original description, hire-desk comments, external reference, PO number, documents, bookings or Hire Contract history.
| Duplication entry point | Creation boundary | Initial period | Reference and notes |
|---|---|---|---|
| Sales Manager | Duplicate engagement creates immediately | Keeps the original period | Keeps description, hire-desk comments and external reference |
| Booking selector | Duplicate confirmation creates before review | Ongoing from today | Omits description, hire-desk comments and external reference |
Neither route copies the PO number, documents, bookings or Hire Contract history.
Both routes create a new contract identity and allocated number. The name receives an available numbered suffix, such as North Yard delivery (1), then (2). Inspect the copied record rather than assuming all details are suitable for the new work. The period is retained or reset as described above, but the current contract editors do not expose controls for changing it. Use the category selector to change the copied category. Set resource booking dates when assigning resources; a Hire Contract document has its own editable period.
Then edit the contract and book resources.
FAQ
How do I duplicate a contract from Sales Manager?
Duplicate engagement creates a copy immediately and keeps the original period and external reference. Check the new identity and add fresh PO details and paperwork. See duplicate a contract in Sales Manager for the steps.
How do I duplicate a contract while choosing a booking?
Confirm Duplicate, then review the saved copy. It starts Ongoing from today and omits the original reference and note fields; closing review does not remove it. See duplicate a contract in the booking selector for the steps.
