Search and filter All Invoices

Updated on First published Approx. 4 min read

Choose All Invoices for historical records across several invoice weeks. Its range filters invoice weeks rather than issue dates.

Choose an invoice-week range

  1. Open All Invoices from Invoice Manager.
  2. Open the week-range selector above the table.
  3. Choose a 2, 6, 12, 24 or 48-week preset.
  4. Wait for the results to update and check the displayed Invoice weeks range.

The initial range covers six weeks. A September invoice week can have an October issue date; widen the invoice-week range when needed.

Select a custom invoice-week range

  1. Open the week-range selector and choose Custom range.
  2. In the calendar, select Invoice weeks from and Invoice weeks through dates.
  3. Select OK to confirm the date range and wait for the table to update.
  4. If the range warning appears, shorten it to at most 365 inclusive days and select the range again.

Both endpoints count towards the 365-day limit. Cancelling the calendar leaves the previous range in place.

Search and filter historical invoices

  1. Enter the customer, contract, contract number, invoice or PO in Search.
  2. Select status buttons to add or remove status groups. Select All to clear the status restriction.
  3. Select Filter by Resource where needed and follow the resource-selection steps below.
  4. Open the matching row to inspect the invoice.
  5. If no rows match, clear search and filters or widen the invoice-week range. For a loading error, select Try Again.

Matched another invoice detail means the search matched information outside the visible row. Open the record to inspect that detail before creating a replacement.

Sort and page invoice results

  1. Select a sortable table heading to sort by that field.
  2. Select the heading again to reverse the direction.
  3. Select Reset sort when shown to restore newest invoice week first and page 1.
  4. Change invoices per page using its selector, or use first, previous, next and last-page controls to inspect more results.
  5. Open the required row after checking its customer, contract and invoice week.

Paging works within the active range, search and filters.

See Weekly Invoices and internal follow-up notes.

Filter invoices by resource

  1. In All Invoices or Weekly Invoices, select Filter by Resource.
  2. In the resource panel, search by resource name and select the required labour or asset entries.
  3. Choose the labour or asset type control when you need to change which resources are listed. Select Include inactive if the required record is inactive.
  4. Select Close to leave the filter panel. Resource selections update the invoice filter as you choose them.
  5. Check the filtered invoices. Reopen Filter by Resource and select the chosen entries again to remove them when you want the wider list.

This filter requires Resource Manager. If resource loading fails, select Retry loading resources rather than treating the failed list as empty.
