Choose invoice support and keep internal files private

Updated on First published Approx. 3 min read

Open the invoice and check supporting details before sending.

Choose the invoice and supporting documents

  1. Open the invoice and select Finalise Invoice.
  2. In the invoice-document area, select Upload and choose the invoice file prepared by your accounts process. For Xero, complete Submit to Xero instead.
  3. In supporting documents, open each timesheet, Hire Contract and contract file to verify its content. Use that area’s Upload for additional support.
  4. Use each file’s include/exclude control to resolve its package choice. Check related timesheet choices too.
  5. Select Download to download the documents listed in the package panel as a ZIP. Check each file’s contents and inclusion state before sharing.

Sending needs an invoice document, recipients and resolved inclusion choices.

For example, keep a subcontractor's cost invoice internal while including the signed customer timesheet.

For example, upload the invoice produced by your accounts process, then select its signed timesheet as support. Uploading an invoice file and entering UpRate's line items are separate tasks; compare them before sending.

Sent or locked invoices restrict customer-facing edits. An editable internal attachment does not mean the whole invoice is editable.

Upload files that stay internal

  1. Open the invoice and locate Additional Documents on its detail page.
  2. Use that section’s upload control for an internal file such as a subcontractor invoice.
  3. Open the saved attachment to verify it belongs to this record.
  4. Use its available file control for removal when needed. Check whether it is a direct internal attachment or a file owned by a related source record.

See timesheets and review and sending.

FAQ

How do I upload an invoice and choose supporting documents?

Supply the invoice file or complete Xero submission, then resolve every supporting-file inclusion choice. The package ZIP can include undecided files, so inspect it before sharing. See choose the invoice and supporting documents for the steps.

Where do I upload files that must stay internal?

Use Additional Documents on invoice detail for internal files. Permitted direct internal attachments can remain editable on sent invoices without unlocking customer-facing content. See upload files that stay internal for the steps.
