Prepare and edit a Hire Contract
Open the contract and create or open its Hire Contract. Check that the version is editable before changing it.
Create, copy or upload a Hire Contract
- Open the customer’s contract and locate Hire Contracts.
- Select Create, then Create New for a new UpRate document.
- For a starting point from an earlier document, choose From Previous, select the source and review the resulting document.
- For a document produced elsewhere, choose Upload, select its file and check the saved attachment.
- For an existing document, open its entry to read or edit the permitted version.
An uploaded file and an editable UpRate Hire Contract are different document paths.
For example, describe Telehandler hire, enter the agreed quantity and unit cost, and choose Per Week. Use Open Price List for a reusable starting item, then check the agreed amount.
Enter charges and select terms
- In chargeable items, enter Name/Description, Qty, Cost (£) and Charging Period in separate cells.
- Use the row options for Insert Row Above, Insert Row Below or Delete Row where required.
- For saved prices, select Open Price List, search or filter items, select rows and choose Add Selection.
- Check calculated Net, the subtotal display choice and VAT value.
- Enter Additional Information. In Supporting Documents, select Upload Document and check the uploaded file.
- Set Start & Duration using the Ongoing, Until and For controls below, then set the start time where needed.
- In Terms & Conditions, select the applicable document checkboxes. Use Manage to maintain company files.
- Check saving completes, then choose Preview and inspect the document before Send.
Each document has its own period, charges and selected terms. Check the agreed rates after inserting Price List items.
Use Manage to update company terms when a required file is missing.
A shared or signed version may be locked. Create a new version for amendments. When ready, send for authorisation.
Copy Hire Contract charge data
- Open the Hire Contract Editor and locate its chargeable-items section.
- Select Copy Data and check the copied confirmation.
- Paste into your spreadsheet or other intended destination and check the columns and rows.
The clipboard contains tab-separated item names, quantities, unit costs and descriptions. This copies charge data rather than creating or sending a document.
Set the Hire Contract period
- Open the contract’s Hire Contracts, then open an editable Hire Contract version. Find Start & Duration in its editor.
- Open Period and choose Ongoing, Until or For. The available fields change with that choice.
- For Ongoing, select Start Date, choose the start day in the calendar and select OK. There is no fixed end date.
- For Until, select Start Date or End Date to open the range calendar. Select the calendar’s Start Date control and choose the start day, then End Date and choose the end day. Select OK to apply the range.
- For For, choose Start Date and OK, enter the numeric Duration, then select Frequency for days, weeks, months or years. Finish the numeric edit so it is applied.
- Check the displayed start date, period and calculated end or duration. Selecting Cancel in the calendar leaves its previous dates unchanged.
- Check the Hire Contract’s saving completes before leaving its editor.
For example, use For, Duration 2 and Frequency Weeks for a two-week period. Until is for a stated end date; Ongoing keeps the period open. These controls set this Hire Contract document’s period rather than booking resources. A shared or signed version may be locked; create a new version to amend it.
