Link customers, export to Xero and resolve warnings
Use these controls when your company’s Xero connection is available.
Link a customer to Xero
- Open the customer accounting control: Connect to Xero, Connected, or Check accounting link depending on its current state.
- Search contacts on the available accounting connection.
- Select the correct business and check it is active. Inactive contacts cannot be newly selected.
- Select Connect when making the new link.
- Inspect Account Defaults: sales code, tax type, payment terms and branding theme. Read any lookup warning.
For example, link Example Plant Services to its own accounting contact. A saved link and successfully read defaults are separate results; an optional lookup failure can retain the link with a warning.
Submit an invoice to Xero
- On the editable invoice, check customer link, charges, tax, sales codes, tracking, dates and branding.
- Open Finalise Invoice and select Submit to Xero.
- Read the export confirmation and select I Understand.
- Select Submit and wait for the result.
- If the result is uncertain, check Xero for that invoice before retrying.
Resolve an unavailable accounting choice
- Read the warning beside the affected lookup or selection to identify what could not be checked.
- Check the customer or reference in Xero and correct its active status or use the intended replacement.
- Reopen the invoice or accounting-link view to check the corrected lookup result.
- In the affected row or branding control, explicitly choose the replacement or clear the selection where permitted.
- Check the saved values before submitting. If the retained reference cannot be edited in displayed columns, restore it in Xero or contact support.
A failed lookup is not an empty list. Ordinary line edits retain existing tracking references until an explicit supported change; changing unrelated text is not a recovery action.
See line editing and invoice sending.
FAQ
How do I link a customer to Xero?
Select the correct active accounting contact. A saved link and successfully loaded Account Defaults are separate results. See link a customer to Xero for the steps.
How do I submit the invoice to Xero?
Use Finalise Invoice, then Submit to Xero. Check Xero before retrying an uncertain result to avoid duplicate accounting work. See submit an invoice to Xero for the steps.
How do I resolve an unavailable accounting choice?
Read the lookup warning and check the reference in Xero. A failed lookup does not mean the list is empty; explicitly replace or clear the affected selection where permitted. See resolve an unavailable accounting choice for the steps.
