28 October 2026 — Enquiries, follow-ups and Contract lift preparation
The new Sales Manager workspaces bring enquiries, follow-up ownership and operational preparation into the same customer journey. Activity histories, optional Quote dates, saved sales contacts and the enquiry pipeline are all new since the previous production release. The quote builder, media library, Price List descriptions/photos and copy/import, personal appearance and account contact phone were already available; they are not new additions in this release.
Activity across sales records
Company, customer/prospect, enquiry and contract views now include activity histories. Record internal calls and notes with Add activity, follow linked records and documents, and use View all → Load earlier activity for older entries. These are activity sections alongside the workspace, not a new Activity tab inside every document. Ordinary customer/contract activity requires Sales Manager access but not the enquiry pipeline. Read the activity guide.
Sales profiles and saved contacts
Customer detail has Contracts and, where enabled, Sales information tabs. Maintain the sales profile, add or edit saved sales contacts, choose a main contact and delete an eligible contact after confirmation. Prospects can be created before a contract is ready. The Quote header provides Edit sales profile and, for contract-owned documents, Edit contract shortcuts. Follow the profile/contact steps.
Enquiries before contracts
Open Sales Manager → Enquiries to record proposed work, requested hire dates, contacts and the next follow-up. Create a Quote before a contract is ready, then create the contract when the customer is ready to proceed. Enquiries and Needs attention require the sales pipeline to be enabled for your company.
Search and filter by relationship, sales stage, hire type, job progress and open/closed records. Compact view keeps the identity, owner and follow-up visible in shorter cards; Detailed view restores the full information. Each page remembers this choice for the current session.
Follow-ups and Needs attention
Use Needs attention → My work or Team work to review follow-ups, missing next actions and Contract lift checklist work. Team work also shows Hire Contracts needing attention where available. Activity links take you to the relevant record, and earlier history remains available.
Contract lift preparation
On an enquiry, select Operations → Hire type → Contract lift to maintain six preparation tasks: Site review, Site survey, SSOW, RAMS, Lift plan and Route plan. Each has a status, completion date and person. Upload operations documents, then classify each file separately. Uploading does not send a file or mark a task complete.
Job progress and record closure remain separate from sales stage and Scheduler bookings. Close record stops ordinary editing; Reopen record restores it. Contracts retain their ordinary Hire Desk and document controls; operational editing stays on the enquiry.
Quote dates can stay unconfirmed
A Quote can now be saved and shared with start date and duration left To be confirmed. Select Start date before choosing Period when dates are known; Clear start & duration clears the Quote schedule and start time without cancelling bookings. Use optional Quote dates.
Choose which totals appear
Editable Quotes, Hire Contracts and Pro Forma now use Include subtotal and Include total. Hiding the total also hides the subtotal; it does not remove line items or change their amounts. The choice is reflected in the document, shared view and email content, and retained when copied into a new version or duplicate. Check total visibility.
Clearer Quote recipient controls
Search saved contacts in Addressed to, check the editable recipient fields or select Clear to remove the document recipient without deleting the saved contact. When a saved contact is selected, changes to its fields also update that saved source. Printed For the attention of and Prepared by rows show the available name, email and phone. Review the actual document and email recipient list separately before sending.
Signing and document actions
A successful Quote signature now also records Accepted. Manual outcome controls already existed; the new behaviour is automatic acceptance after signing. Neither action books resources or records payment.
The template selector is now Template beside the chargeable-items heading, with None for the ordinary layout. Document menus put Send first and keep eligible new-version and duplicate actions accessible. Terms include/exclude actions remain visible without hovering. Sending lists show richer contact information and allow editing or confirmed removal; complete or cancel an open recipient form before sending. Document invitation and signed-email links use the configured application address.
Invoice recipients and accounting contacts
Invoice recipient names are retained through sending. Linked Xero customers expose their contact choices for explicit selection, including people not marked for automatic email inclusion; suggestions do not add recipients by themselves. An unfinished recipient draft prevents sending, and a duplicate email is rejected so you can correct the existing entry. Follow invoice recipients and Xero contact choices before sending.
Loading and everyday controls
Initial data loads now appear within their page sections, keeping headings and context visible. Shared section layouts, date controls and document actions are more consistent. Enquiry search/filter controls and activity stay accessible while scrolling; compact/detailed views keep their session choice. Contract cards and header actions wrap more reliably on narrow screens, with clearer missing-PO/document notices. Wait for the relevant section to finish loading. Use Retry loading schedule or Retry loading timesheets when those sections fail. No measured speed improvement is implied.
Quotes and Pro Forma remain BETA and require company enablement and Sales Manager access. This release does not change your module permissions.
