Manage enquiries and follow-up work

Updated on First published Approx. 8 min read

Open Sales Manager → Enquiries. Enquiries and Needs attention require the sales pipeline to be enabled for your company as well as Sales Manager access. If these entries are absent, check the selected company and availability with your company manager.

An enquiry records proposed work before a contract is ready. Sales stage, job progress, record closure and Scheduler bookings are separate: changing one does not automatically allocate a resource.

Find an enquiry and change the view

  1. Open Sales Manager → Enquiries and enter a title, reference, customer or site in Search enquiries.
  2. Use All relationships, All stages, All hire types and All job progress to narrow the results. Use Open records, Closed records or All records to choose which records appear.
  3. Select Newest first, Oldest first or Title A to Z for the order; Any created date can restrict the creation period.
  4. Select a card to open the enquiry. If it is missing, clear the search and restore the unrestricted filters, including All records.
  5. Select Compact view to show identity, stage, hire type, owner and follow-up in shorter cards. Select Detailed view to restore the full facts and preparation details.

Each page remembers its compact-view choice for the current application session. Enquiries and Needs attention have separate choices; a new session starts with the detailed view.

Add a prospect for proposed work

  1. In Sales Manager → Enquiries, select New enquiry. In the New enquiry company-selection panel, use Search before adding another record.
  2. If the company is not present, select New prospect. Enter Company name, then the known Main address, General phone, General email, Website and Sales notes.
  3. Select Save in the prospect editor. Back in the selection panel, check Selected company, then select Use selected company to open the enquiry form. Saving a prospect alone does not confirm the company choice. Use the close control before saving to leave the editor without adding it.
  4. To maintain the sales information later, open the saved enquiry and select Edit sales profile. Check the saved result before returning to the enquiry.

A prospect is proposed business. Creating one is not a contract or a Scheduler booking. Use the ordinary customer procedure when you need a customer directly.

Create an enquiry and set its next action

  1. In Enquiries, select New enquiry. In the company-selection panel, use Search and select the intended customer or prospect. Check Selected company, then select Use selected company to open the enquiry form. If Company could not be confirmed. Try again. appears, check the selection and retry that confirmation.
  2. In Enquiry, enter Title, then any Requirements (optional) and Site address (optional). Use Sales stage for the current sales position.
  3. In Requested hire dates and time, set the requested start when known, then choose the period/duration and start time. Period controls remain disabled until a start date is selected; do not enter a date simply to unlock them.
  4. In Follow-up, set Next follow-up (optional), Follow-up time (optional) and Follow-up owner. Add the enquiry's contacts in Contacts.
  5. Wait for the save indicator to confirm saving has finished. Open Enquiry settings to change Enquiry owner, then select Apply and check the saved result.
  6. After doing the follow-up, select Complete follow-up, review the confirmation and confirm. Use Clear follow-up only to remove the planned follow-up; this is a separate action from completing it.

Changes save automatically. If a save fails, retain the entered details and use the displayed Retry save action. A conflict can instead require Reload saved enquiry; review the warning before replacing your local changes. Closing a panel is not evidence that saving succeeded.

Record hire type and job progress

  1. Open a saved enquiry and find Operations.
  2. Choose Hire type: Unspecified, CPA operated, CPA non-operated or Contract lift.
  3. Choose Job progress: Not booked, Booked, In progress, Completed or Cancelled.
  4. Wait for saving to finish. If an error appears, use Retry change; Reload operations reloads the saved state and can discard local changes.

Job progress describes the enquiry's work. It does not create or cancel Scheduler bookings. A Won enquiry can still need operational work. Contracts retain their ordinary Hire Desk information; the enquiry's live operational controls are maintained on the enquiry.

Complete a Contract lift checklist

  1. On the saved enquiry, set Operations → Hire type to Contract lift.
  2. Find Contract lift checklist below the main enquiry fields. The six rows are Site review, Site survey, SSOW, RAMS, Lift plan and Route plan.
  3. For each row, select Status: In progress, Completed, Sent or Not required. Enter Date completed and Completed by where appropriate.
  4. Wait for each change to save. The date and person remain editable in each status; changing status does not erase those values.
  5. To clear one row, select its Reset control, review Reset checklist item? and confirm only for the intended row.

Changing hire type away from Contract lift hides the checklist without deleting its saved work. Return to Contract lift to see it again. Selecting Completed or Sent is your team's record; it does not certify the work or send a file automatically.

Upload and classify operations documents

  1. Open the saved enquiry and find Operations documents.
  2. Select Upload document, choose one or more files and wait for each saved file entry. PDF, JPEG, PNG, DOCX and XLSX files up to 20 MiB are supported.
  3. New files start as General. Use the type selector beside each uploaded file to choose its purpose; more than one file can share a type.
  4. Select the saved filename to check its contents. Uploading or changing the type does not complete a checklist row or send the file to a customer.
  5. To remove a file, use Delete document, check Delete operations document? and confirm. Cancel to keep it.
  6. If uploads remain queued, follow the visible error and use Continue uploads when available. Check saved entries before selecting the same files again.

Operations documents stay on the enquiry. Contract PO files and ordinary contract documents use the contract paperwork procedure.

Quote before creating a contract

  1. Open a saved, open enquiry that is not linked to a contract. In Documents, select New quote.
  2. Prepare, preview and share the draft using the Quote guide. Confirm the enquiry/customer identity before sending.
  3. When the customer is ready to proceed, return to Documents and select Create contract. Check the company named in the confirmation and select Create contract, or Cancel to stop.
  4. Wait for the linked result, then select Open contract to review it. A linked enquiry no longer offers New quote; continue from the contract's documents.
  5. If the result is uncertain, use Retry contract or Retry document as shown rather than creating a second record.

Creating the contract is separate from allocating resources. Review the contract's customer, site, dates and documents before booking.

Work through Needs attention

  1. Open Sales Manager → Needs attention.
  2. Select My work for work assigned to you or Team work for the team view. Review Follow-ups, Missing next action and Contract lift checklist. Team work also includes Hire Contracts where available.
  3. Read the card's reason and select the enquiry, document or Open contract action that matches the work. An ENQ reference opens its enquiry; a document reference identifies the document.
  4. Make the change on the opened record and check saving finishes. A card is a prompt to review, not evidence that a document was sent or a booking made.
  5. Select Compact view or Detailed view to change card detail without resetting the work selection.
  6. Use View all in activity to inspect the history, then Load earlier activity for older entries and Newer activity to return. Record activity stays scoped to its record.

If loading fails, use Retry attention. An empty section and a failed section are different; do not treat an error as confirmation that nothing needs doing.

Close and reopen an enquiry

  1. Open the saved enquiry and wait for outstanding changes to finish saving.
  2. Select Close record, review Close record? and confirm when the record should stop accepting ordinary changes.
  3. To return to it later, open Enquiries, choose Closed records or All records, then open the enquiry and select Reopen record.
  4. Check the reopened state before editing its details, operations or documents.

Closing does not delete the enquiry, cancel a booking or mean its sales stage is Won. Keep these decisions separate.

Read activity and record a call or note

The activity section beside or below the record shows its sales history. Select Add activity, choose Note or Call, enter the details and select Save note or Save call. Use View all and Load earlier activity for older entries. Follow read activity and record sales calls or notes for scope, linked records and retry instructions.

FAQ

Why can I not see Enquiries?

Check Sales Manager access, the selected company and whether the sales pipeline is enabled for that company.

Does Booked allocate resources?
