Read activity and record sales calls or notes
Activity records what happened on the company, customer, enquiry or contract you are viewing. Use the relevant record before adding a note or logging a call so the entry stays with the right work.
Sales Manager access is required. Ordinary customer and contract activity does not require the enquiry pipeline to be enabled; enquiry activity also requires that company feature. Activity appears in a section beside or below the record, rather than a separate Activity tab on each document.
Find the right activity history
- Open Sales Manager and find the customer or contract you are working on. Where the pipeline is enabled, All Customers is the customer entry point.
- On the customer list, read Company activity for the company-wide feed. Open a customer or prospect for its Sales activity, or a contract for its Contract activity.
- With the pipeline enabled, open Enquiries for Enquiry activity, or open a particular enquiry for its Sales activity. Needs attention also provides activity alongside its work queues.
- Read the actor, action, date and linked reference. Select the customer, ENQ, contract or document reference to open the matching record. A document reference opens the relevant document; there is no separate document Activity tab to find first.
- If navigation or loading fails, read the message and use Retry loading where shown. A failed feed is not an empty history.
| View | Activity scope |
|---|---|
| Customer list | Company activity across accessible sales records |
| Customer or prospect | Sales activity for that customer or prospect |
| Enquiries list | Enquiry activity across accessible enquiries |
| Enquiry detail | Sales activity for that enquiry |
| Contract detail | Contract activity, including its explicit enquiry link event; not the entire enquiry or prospect history |
The customer's Contracts and Sales information tabs share the surrounding activity area. Switching tabs does not change the customer identity. The Sales information tab depends on company feature availability.
Read older activity
- Find the activity section on the intended record and select View all.
- Read the displayed entries. History shows up to ten entries at a time.
- Select Load earlier activity to read older entries, then Newer activity to return towards the latest entries.
- Select Close to return to the record.
Activity can include record creation and updates, document creation/sharing/outcomes, follow-up changes and operational changes, as well as manually recorded notes and calls. A sharing event records the application action; it does not prove inbox delivery, reading or payment.
Add an internal note or log a call
- Open the intended customer, prospect, enquiry or contract and confirm its identity. Find its Sales activity or Contract activity section.
- Select Add activity. Choose Note to record a note or Call to log a conversation that took place.
- Enter the text in Note or Call details. These entries are internal sales activity, visible to your company team; this control does not call or message the customer.
- Select Save note or Save call, then check that the entry appears in the correct history. Select Close before saving to leave the dialog.
- If Save not confirmed appears, use Retry save to confirm the same retained entry instead of entering it a second time. If saving succeeded but history failed to refresh, use Retry loading to display the saved entry.
Use a short factual note, such as the agreed next action and who will do it. An activity note does not change an enquiry's follow-up date or allocate resources. Maintain those fields separately using the enquiry guide.
